We’ve worked in many settings – from village halls to restaurants and office blocks to football stadiums. Each has their own merits, but there are a number of key factors that we believe really help to create a productive working environment, even within a tight budget.

The four factors that we’d suggest concentrating on are:-

Light, space, ventilation and refreshments.

Natural light makes a huge difference to the attendees, particularly if it looks out onto some open, tranquil space. A conference room without windows quickly becomes tiring, and a busy environment outside a window distracts.

Enough space for the number of participants to see each other comfortably, and to work in groups, really helps. Our normal room layout is an open horseshoe of chairs, without tables, which we find creates an engaging and fluid space. Having space for a few tables around the outside can be a real bonus if you’re doing extended group work.

Ventilation is important. It doesn’t have to be air conditioning; windows that open are often just as good. Having the controls in the room, rather than being controlled centrally by the venue, are much better as you can vary the temperature without having to go for help. Being too hot or cold really affects the quality of your thinking!

Refreshments vary hugely, depending on budget. A basic tea or coffee is absolutely fine; our favourite venues have access to coffee outside the room at any time you choose to break. A few biscuits are also well received, as your brain uses a lot of glucose when you’re thinking… well that’s my excuse anyway!
